Building a Private Members', Golf or Beach Club, End to End

The asset is the membership, not the room. We build the club, the model that funds it and the community that fills it — as one programme, under one accountable partner.

A members' club lives or dies on a thing no hotel ever has to solve: a membership that people will pay to join, subscribe to keep and queue to inherit. Get the model wrong and the finest clubhouse in the country sits empty; get it right and members fund the build before a brick is laid. Gladwin International runs the entire journey — business and membership strategy, demand research, facility and experience design, procurement planning, PMO and build governance, executive search, service culture and governance, and a founding-member campaign and soft launch — as a single, phase-gated engagement. We act as your Owner's Representative from the first feasibility question to a stabilised opening, and hand you an operating club with its committee constituted, its team in seat, its course grassed-in and its founding roll signed. Not a deck. A business.

Most clubs are built like hotels — and the membership never arrives

The mistake is almost always the same. An owner falls in love with the building — a soaring clubhouse, a championship course, a beach the length of a runway — and treats the membership as something to sell once it is finished. But the membership is not the marketing that follows the build; it is the business the build exists to serve. The categories, joining fees, subscriptions, transfer and legacy rules, the cap on the roll and the founding-member campaign that funds the capital are the actual asset. Get them wrong and you have the most expensive private garden in the city with nobody in it.

Gladwin International closes that gap. We take single accountability for the whole journey as your Owner's Representative and programme integrator — coordinating every specialist, from the course architect to the constitution's draftsman, to one brief, and staying answerable for the result rather than just the advice. This is the build-and-operate extension of our hospitality & travel practice, powered by the same partner-led engine behind our executive search practice.

So we start where the money starts: with the membership model and the demand behind it. Who joins, why, at what price, on what terms, and how many of them fund the build before it opens. Only then do we shape the clubhouse, the course, the beach and the racquet courts around that community — and recruit the Club GM, Secretary, Course Superintendent and membership team who will keep them there. The signature facilities are built to specialist standards, not hotel standards, because a member who plays the course every week will forgive nothing.

The outcome is a club that opens with a constituted governance, a live founding roll, a course grassed-in and playable, and a service culture that makes members feel like owners — because, in the ways that matter, they are. Built to institutional standards, and built to endure a legacy roll that outlives its founders.

In short

  • The membership model — categories, fees, subscriptions and the cap table — designed before the building
  • A founding-member campaign engineered to fund the capital build
  • Signature facilities — golf, beach, racquet, F&B — built to specialist, not hotel, standards
  • Governance, constitution and committees stood up so the club runs itself from opening
  • Club GM, Secretary, Course Superintendent and membership team recruited and in seat

The eight workstreams — bent around the membership, explained clearly

A structured programme that runs from a concept to a stabilised opening, sequenced into phase-gated stages and owned end to end. The spine is the same eight workstreams we run across the vertical — but for a club they bend around the one thing a hotel never has to solve: a membership that funds the build and fills the rooms. We can begin at the very start, with a site and an idea, or step into a stalled build or a tired legacy club and take it the rest of the way.

  1. 01

    Business & Membership Strategy

Designing the membership before the building — because the membership is the business.

We define the club and, crucially, the model that funds it: positioning and archetype of member, then the membership architecture itself — categories, joining fees, subscriptions, transfer and legacy rules, the cap on the roll and the cap table that shows how founding capital is raised and repaid. This is framed against a clear investment thesis, so every downstream decision, from course length to clubhouse covers, answers to the community it is built to serve.

    • Positioning, member archetype and club proposition
    • Membership model — categories, fees, subscriptions, transfer and legacy rules
    • Founding-member funding plan, cap table and investment thesis
  2. 02

    Market & Membership Demand Research

Proving the roll will fill — and at the price — before a rupee is committed.

We size the addressable membership in the catchment, benchmark competing clubs on fees and waiting lists, and pressure-test willingness to pay across every category. We model the joining-fee and subscription revenue, ancillary spend and break-even against a realistic uptake curve, so the membership model is proven commercially before it becomes a build.

    • Catchment membership sizing and competitor benchmarking
    • Willingness-to-pay and price-point validation by category
    • Revenue model, uptake curve and break-even on the membership roll
  3. 03

    Facility & Experience Design

Course, clubhouse and beach — shaped around the member, built to specialist standards.

We translate the strategy into a master plan and a member journey across every signature facility: the golf course (routing, length and playing character with the course architect), the clubhouse and its fine-dining and banqueting F&B, the beach or marina, racquet sports, wellness and the members-only spaces that define belonging. We coordinate the course architect, agronomist, clubhouse architect and interior and specialist consultants to one functional brief, so the design serves the membership rather than the ego of the building.

    • Functional master plan and member-journey design
    • Golf-course concept and routing brief with the course architect
    • Coordinated clubhouse, F&B, beach/marina and racquet design briefs
  4. 04

    Procurement Planning

Everything the club needs — from the maintenance fleet to the members' bar — sourced to budget and time.

We build and run the procurement strategy for the entire fit-out and course — clubhouse interiors and FF&E, fine-dining kitchens and bars, golf-course agronomy, irrigation and the maintenance fleet, racquet, pool, beach and marine, wellness, banqueting, member-management technology and operating supplies — with independent vendor intelligence, budgets, specifications and delivery schedules. Procurement is planned against the operating model and the opening date, not bolted on at the end.

    • Consolidated procurement strategy and budget across every category
    • Vendor selection, specifications and contracts, course to clubhouse
    • Delivery, installation and commissioning schedule to a ready-to-play, ready-to-serve asset
  5. 05

    PMO & Build Governance

One control tower over cost, time, quality and risk — from grow-in to opening.

We stand up the Programme Management Office that holds the whole engagement together — a single schedule, budget and risk register across design, procurement, construction, course grow-in and pre-opening, with phase gates, reporting and decision governance. As your Owner's Representative we chase the seams between the course, the clubhouse and the membership campaign that fragmented projects always drop, so nothing falls between the specialists.

    • Integrated master schedule, budget and risk register
    • Phase-gate governance and owner reporting, including course grow-in milestones
    • Owner's Representative oversight across every discipline
  6. 06

    Executive Search

The people who run the club — Club GM, Secretary, Superintendent and HODs, in seat before opening.

We recruit the operating team in phased waves: Club General Manager and Secretary first, then the Golf Course Superintendent and the heads of department — F&B, Membership & Marketing, Finance, Racquets and Engineering — and the membership team who will build the roll. This is our core discipline, run by the same partner-led engine behind our [executive search practice](/services/executive-search), so leadership is chosen for this club and its membership culture, not scrambled together at the end.

    • Club General Manager, Secretary and Golf Course Superintendent
    • Full head-of-department team and phased pre-opening recruitment
    • Membership-team hiring and club organisation design
  7. 07

    Service Culture, Training & Governance

The operating model, the constitution and the high-touch culture — written, embedded and rehearsed.

We build the operating engine and the governance that sits above it: SOPs and service standards, the members-first service culture that distinguishes a great club, systems onboarding — and, alongside it, the club constitution, committee structure, member rights and rules that let the club govern itself. The team is trained and drilled against the member journey, so standards are lived from the first member, not learned on them.

    • Operations manual, SOPs and a members-first service-culture programme
    • Club constitution, committee structure and member rules
    • Systems onboarding and the pre-opening critical path
  8. 08

    Founding-Member Campaign & Soft Launch

Signing the founding roll and opening the club — deliberately, and to a community that funds it.

We design and drive the founding-member campaign — the invitation, the founding privileges, the pricing and the momentum that turn a construction site into a funded, wanted club — and run the soft launch to shake down operations under real members. We support the first operating season until the roll and the service stabilise, then hand over to a permanent team already in seat, governing the whole programme as your Owner's Representative right to the finish.

    • Founding-member campaign, privileges and enrolment strategy
    • Day-Zero readiness, mock-service dry runs and managed soft launch
    • First-season support and handover to a stabilised, in-seat team

Everything that goes into a club — from the members' bar to the mowing fleet

A club's procurement is unlike a hotel's, because a club has a golf course, a beach and a member-management engine that a hotel does not — and members who inspect the result every week. It is not a single purchase order; it is thousands of specified items across a dozen categories, each with its own vendors, lead times, standards and logistics, all converging on one opening. We plan procurement against the operating model from day one, run it category by category with independent vendor intelligence, and govern it through to a commissioned, ready-to-play, ready-to-serve asset. Clubhouse to course, kitchen to marina — everything, to budget and to time.

Clubhouse interiors & FF&E

The furniture, fixtures and equipment that give the clubhouse its sense of belonging and permanence — specified to the design brief, durability-rated for heavy members' use and value-engineered against the budget.

  • Lounge, library, card-room and bar-room furniture and joinery
  • Member-facing reception, concierge and locker-room fit-out
  • Feature lighting, chandeliers and architectural fixtures
  • Carpets, rugs, hard flooring, drapery and soft furnishings
  • Artwork, honours boards, trophy cabinets and club heritage displays

Fine-dining, bar & F&B kitchens

The commercial kitchens and every members' dining and bar outlet, specified to the menus, covers and standards a discerning membership expects — to food-safety compliance and to real operating throughput.

  • Commercial cooking, refrigeration and cold-room equipment
  • Fine-dining, grill, bar and barista stations
  • Members' restaurant, bar and lounge FF&E and outdoor dining
  • Chinaware, glassware, crystal, cutlery and buffet ware
  • Halfway-house, on-course and beach F&B service equipment

Golf course & agronomy

The most specialist procurement in the estate — the irrigation, maintenance fleet, turf systems and pro-shop that keep a championship course playable, and where a members' club is judged or forgiven. Specified with the agronomist and superintendent to the course and its climate.

  • Course-wide irrigation, pump house, controls and drainage
  • Greens, fairway and rough mowing fleet and turf-care equipment
  • Bunker, top-dressing, aeration and spraying machinery
  • Turf-care shed, workshop, agrochemical store and nursery
  • Pro-shop retail fit-out, hire sets, buggies and buggy-charging
  • On-course furniture, signage, bunker rakes, tee markers and flags

Racquet, pool, beach & marine

The active and waterside facilities that round out a club membership — courts, pools, the beach and any marina — specified for safety, durability and a premium member experience.

  • Tennis, padel, squash and pickleball court systems and fit-out
  • Pool, jacuzzi and water-treatment plant
  • Beach furniture, cabanas, loungers, shade and lifeguard equipment
  • Marina pontoons, moorings, fuelling and berth-management systems
  • Water-sports, sailing and adventure gear and safety equipment

Wellness & fitness

The spa, gym and recreation facilities members expect of a full-service club — specified for durability, safety and a premium daily experience.

  • Gym, fitness and functional-training equipment
  • Spa treatment rooms, wet areas and thermal-suite fit-out
  • Studio fit-out for yoga, movement and group classes
  • Salon, grooming and relaxation-lounge furnishings
  • Spa linen, robes, amenities and treatment consumables

Banqueting & events

The banqueting, function and events infrastructure that drives member occasions and ancillary revenue — weddings, tournaments, galas and private hire.

  • Banqueting furniture, staging, dance floors and portable bars
  • Event lighting, AV, sound and presentation systems
  • Marquees, outdoor event and lawn-function equipment
  • Banquet chinaware, glassware, linen and service ware
  • Tournament, prize-giving and hospitality-marquee equipment

Technology & member-management systems

The digital backbone a club runs on — and the one system a hotel does not need: the membership engine that manages the roll, billing, bookings and rights. Architected to the operating model and integrated so the club runs as one system, not a patchwork.

  • Membership CRM, joining, billing and subscription management
  • Tee-time, court, facility and event booking systems
  • Member app, digital cards, access control and turnstiles
  • POS, F&B, retail and pro-shop point of sale
  • Networking, Wi-Fi, CCTV and back-office finance, HR and analytics

Operating supplies & equipment (OS&E)

The thousands of small items a club cannot open a locker room, serve a member or set a table without — often underestimated, always critical, and where opening delays hide.

  • Locker-room, spa and pool linen, towels and amenities
  • Restaurant, bar and banquet operating supplies
  • Housekeeping, cleaning and grounds-keeping consumables
  • Uniforms across every department, course and clubhouse
  • Member collateral, stationery, scorecards and welcome kits

How we govern the spend

  • Independent vendor intelligence — sourcing on merit and value, never on commission
  • One consolidated budget and specification pack across clubhouse, course and marina
  • Lead-time and logistics planning mapped to construction, course grow-in and the opening critical path
  • Sample approvals, agronomy trials, quality control and mock-up sign-off
  • Delivery, installation, commissioning and snagging to a ready-to-play, ready-to-serve handover

Every licence and certification — engineered in from day one

A club fails compliance in ways a hotel never does: a course that breaches its water and environmental conditions, a founding-member scheme that trips consumer-protection law, a constitution that will not stand. We build the licensing, governance and accreditation roadmap at the start of the engagement and sequence every approval into the programme, so compliance is engineered in — not retrofitted in a panic before the founding roll opens.

Property, safety & operations

The statutory approvals and quality standards a club must hold to open, serve and operate.

  • Ministry of Tourism classification where the club offers rooms or applicable hospitality
  • FSSAI food-safety licensing across all outlets
  • Fire NOC and life-safety compliance
  • Excise, liquor and club-bar licensing
  • Municipal trade, health and occupancy approvals
  • ISO 9001, ISO 22000 and HACCP quality & food-safety systems

Club governance & membership

The registrations, constitution and compliance that let a membership scheme be lawful, enforceable and enduring.

  • Society, company or trust registration and the club constitution
  • Membership-scheme structuring and consumer-protection compliance
  • Founding-member and joining-fee scheme legal review
  • Golf-body and federation affiliations for handicapping and competition
  • Gaming, gaming-machine, pool and marine safety certifications

Sustainability & green building

The green and sustainability certifications that increasingly govern a course's licence to operate and a club's reputation.

  • IGBC, LEED or GRIHA green-building certification
  • Golf-course environmental and water certification — e.g. GEO Certified or Audubon
  • Energy, water and waste-management standards

Licensed filings and certifications are performed by your appointed professionals and the relevant certifying bodies; Gladwin specifies, sequences and governs them so nothing is discovered late.

One partner, the whole journey

Most owners stitch together a course architect, an agronomist, a clubhouse architect, a procurement agent, a lawyer for the constitution and a recruiter — and personally own every gap between them, while the membership campaign that funds it all runs on hope. We take single accountability from concept to a stabilised opening, acting as your operator-led strategist, programme integrator and Owner's Representative. We stay in our lane — we are not your banker, auditor, or architect of record — but we specify, coordinate and govern all of them to one brief, so the club that gets approved is the one that actually opens, fills its founding roll and endures. This is the build-and-operate extension of our hospitality & travel practice.

Private Members' & Golf/Beach Clubs — frequently asked questions

The membership model is the first workstream, not an afterthought. We design the categories, joining fees, subscriptions, and transfer and legacy rules, cap the roll and build the cap table that shows how founding-member capital funds the build and how it is repaid or credited over time. Then we validate willingness to pay in the catchment and run a founding-member campaign — with founding privileges, pricing and momentum — that turns a construction site into a funded, wanted club before it opens, all structured for consumer-protection and scheme compliance.

Yes. We coordinate the course architect on routing, length and playing character, and the agronomist and superintendent on turf systems, irrigation, drainage and grow-in — then govern the specialist procurement that a course demands: irrigation and pump house, the greens and fairway maintenance fleet, the turf-care shed and the pro-shop and buggy fleet. We build the grow-in milestones into the PMO so the course is playable and inspection-ready for the founding members from opening.

Procurement covers everything that goes into the club: clubhouse interiors and FF&E, fine-dining and bar F&B and kitchens, golf-course agronomy, irrigation and the maintenance fleet, racquet, pool, beach and marine, wellness and fitness, banqueting and events, member-management technology and operating supplies (OS&E). We source on independent vendor intelligence — on merit and value, never on commission — run one consolidated budget and specification pack across clubhouse, course and marina, and govern lead times, quality control, installation and commissioning through to a ready-to-play, ready-to-serve handover.

We build and govern the full roadmap: property and operations (FSSAI, fire NOC, excise and club-bar licensing, municipal approvals, ISO/HACCP, and Ministry of Tourism classification where applicable); club governance and membership (society, company or trust registration and the constitution, membership-scheme and consumer-protection compliance, golf-body and federation affiliations, and gaming, pool and marine safety certifications); and sustainability (IGBC/LEED/GRIHA and golf-course environmental and water certification such as GEO or Audubon). Licensed filings are performed by your appointed professionals and certifying bodies — we specify, sequence and govern them so nothing is discovered late.

Yes. We can begin at the very start with a site and an idea, or step into a stalled build or a tired legacy club and take it the rest of the way. We assess where the project stands, re-establish or repair the membership model, the brief and the governance, and run the remaining workstreams — including, where needed, a repositioned founding or relaunch campaign — to a stabilised opening.

As a phase-gated programme scoped to your site and ambition. Each stage — membership strategy, demand research, facility design, procurement, PMO, executive search, governance and the founding-member launch — has defined deliverables and a decision gate, so you commit progressively and see the case proven before the next phase begins. Pricing reflects the workstreams and signature facilities in scope rather than a fixed catalogue rate — speak with a partner for an indicative shape.

One partner. The whole journey.

Whether you are starting from raw land, a stalled build, or an operating asset to reposition, we take single accountability from concept to a stabilised opening.
